General

What is Ontern?

Ontern is an intern management platform designed so managers can easily engage and track the performance of their interns, whether they are remote or in the office.

What is a Circle?

A Circle is any group of users (interns, employees or both). You can assign every user in the business to one large Circle, create smaller teams between individual managers and interns, or create Circles based on factors such as geographic location, department, or tasks. Circles make it easier to add multiple people to tasks or events, and you always have the option to add individual users as well.

What features does the platform currently offer?

Ontern offers numerous features to streamline the intern management process, including task and event creation, calendar integration, flexible group creation, real-time progress tracking on tasks, and skill badges to track what is learned over the course of an internship. Is there a chat feature?

Ontern currently does not offer a chat feature. Our platform focuses on intern management and creating an engaging internship experience. We plan on integrating Slack soon for the convenience of our Plus and Enterprise users.

How does Ontern’s pricing work?

Ontern Core package is $12.00 per user per month on a monthly basis, or $9.00 per user per month with an annual package. Ontern Plus is $24.00 per user per month on a monthly basis, or $19.00 per user per month with an annual package. Ontern also offers customized Enterprise packages. What form of payments do you accept?

Ontern processes payments through Stripe, giving you the ability to make a purchase using any major credit card. For annual subscriptions of over 20 members, we can issue an invoice payable by bank transfer or check. Please contact us to arrange an invoice purchase. Monthly purchases must be paid for by credit card.

Does Ontern offer a discount for companies offering internships through universities?

Yes. Companies enrolled in our Core and Plus packages that work directly with a university to provide internships are offered a 10% discount per user. Enterprise companies are not eligible for the university discount.

How do I cancel my Ontern subscription?

It’s easy to cancel a subscription. To cancel a paid plan, log in to your Ontern account you wish to cancel, click your profile photo at the bottom left of the screen. As an account Admin, navigate to the Billing tab, and then select Cancel Plan. Only a billing owner of a paid account may cancel a paid plan.

What is your refund policy?

Ontern currently does not offer refunds. If you cancel your plan before the next renewal cycle, you will retain access to paid features until the end of your subscription period. When your subscription expires, you will lose access to paid features and all data associated with those features.

Can I upgrade or downgrade my subscription?

Yes. You can change your subscription as an account admin. As Admin, login to your Ontern account you wish to cancel, click your profile photo at the bottom left of the screen. Navigate to the Billing tab, then select Change Plan and select the subscription package you want to change to.

What if I do not know how many users will be on my organization’s account?

When filling in your billing information, enter the estimated number of users you expect to use Ontern under your account. Ontern will track the number of active users on your account and can adjust our subscriptions fees accordingly, so if you want to add another intern or manager later on that works with us!

I invited someone to my Ontern account but they did not receive an e-mail invitation. Why?

Be sure to check your spam folder in your e-mail account. If the invitation is still not found, you can resend the invitation. One profile can be made per e-mail address, so even though multiple invitations are sent to the same user only one profile will be made for the user.


Platform Specific

How do I onboard an intern?

You must be the account admin to add an intern. To add an intern, click the + icon at the top left of the Ontern platform and click "Add New Intern."

How do I onboard a manager?

You must be the account admin to add a manager. To add a manager, click the + icon at the top left of the Ontern platform and click “Add New Manager.”

How do I create a new project or event?

You must be the account admin or manager to add a new project or event. To add a new project or event, click the + icon at the top left of the Ontern platform and you can choose to either "Create New Event" or "Create New Circle" for a project circle.

How do I assign an intern to a project or event?

If you have not created the task yet, you can assign users through the "Create New Task" in the + menu. If you already created the task, find the task in the task list and you can add new users in the Edit menu by clicking the pencil icon.

Which email do invitations go to when you add a new user? Personal or business?

Invitations will be sent to all emails on file for the new user. You can add both work and personal emails based on your preference. Each new user can only create one profile, even if an invite is sent to more than one email.

How do I designate who is a manager and who is an intern?

You can designate what role each user has while inviting them. Just click on "Add New Intern" or "Add New Manager" after clicking on the + icon at the top left of the Ontern platform. You can see who's who by looking at their profile or the People list.

Do I need to make skills in order to assign them on projects and events?

You have the ability to create customized skills using our Plus or Enterprise pricing option. All packages come with 150 pre-loaded skill badges in our system. Simply search for the skill you want to assign in the skill search bar when creating the task to see available skills to assign.

Do we have to know the end date of our internship program?

No. If you do not know the end date of your internship program, you are not required to enter that field. Ontern will no longer charge for users once their profile has been removed from your account.

Do tasks automatically update as the user completes a task, or does the user need to manually update their progress?

Currently the assigned users will manually update their progress for each task.

What is the help raft icon for?

The help raft icon is used when interns are stuck on an assignment and need help from a manager. When the intern clicks on the help raft icon, they can leave comments on the task they are stuck on clarifying what they need help with. Managers are immediately notified when an intern selects the help raft icon.
